Before you start: upload your event photos first — Spotlight matches selfies against the photos already in your event. If your plan runs on guest credits, a remaining credits counter appears next to Add selfies; each guest you process uses one credit.

How to use it

From selfies to best shots in four steps

Choose your best-photo settings

Under Best-photo settings, tell Spotlight what a "best" photo looks like for this event: Orientation (Any, Horizontal, or Vertical) and People in Photo (Any, Alone, or Crowd). Changing either setting re-ranks every guest’s best photo instantly.

Add selfies

Add a single selfie with an optional guest id (leave it blank for a random one), or bulk import a .zip / many images at once. Include a CSV (guest id, filename) in the .zip to set ids — any selfie without a mapping gets a random id. Supported formats: jpg, png, webp, heic.

Review the Guests table

Each selfie becomes a row showing the guest, status, match count, and chosen best photo (tagged Auto or Manual). Expand a row to see all matches and click any photo to override the pick — that switches it to Manual and sticks even if you later change the settings.

Export & share

Download all best grabs every guest’s top photo; Download CSV gives you guest ids plus a shareable link to each best photo. You can also download a single guest’s matches or copy their best-photo link from the expanded row.

Settings are preferences, not filters

Spotlight always picks the best available photo for each guest. If a guest has no photo matching your preference — say you chose Horizontal but they only appear in vertical shots — Spotlight still selects their best vertical photo, ranked on quality. A guest is never left without a photo because of these settings; the only way a guest gets no photo is if they don’t appear in any event photo.

Understanding guest statuses

Status What it means What to do
Processing Spotlight is searching your event photos for this guest. Wait a few seconds — the row updates on its own.
Done The guest was matched and a best photo was picked. Review or override the pick, then export.
No face detected No clear face was found in the selfie itself. Replace it with a clear, front-facing selfie. (No credit is used.)
No matches found The selfie was fine, but the guest doesn’t appear in any event photo. Confirm the guest attended and that their photos are uploaded, then re-run.
Not enough credits Your account ran out of guest credits before this guest could be processed. Top up credits, then re-add the guest.
Failed Something went wrong while processing this guest. Remove the selfie and add it again. (No credit is used.)

Send personalized emails with HubSpot

Turn the Download CSV export into a one-to-one campaign that delivers each guest their own best photo. This example uses HubSpot; the same CSV works with any email platform.

Add guest emails to the CSV

The Spotlight CSV keys on guest id and the best-photo link — it doesn’t include email addresses. If your guest ids are already the guests’ emails you’re set; otherwise add an email column by matching your guest list on guest id.

Create a custom contact property

In HubSpot, go to Settings → Properties → Create property, object type Contact, field type Single-line text (or URL). Name it e.g. "Event best photo URL".

Import the CSV

Contacts → Import → Start an import → File from computer. Map the email column to Email and the best-photo link column to your new property.

Build & personalize the email

Insert the property as a personalization token — as a button/link ("View your photo") pointing at the token value (simplest and most reliable), or inline via a source-code / programmable email module that sets the image src to the token.

Send or automate

Send to the imported list, or trigger the email from a Workflow whenever the "Event best photo URL" property is set.
